Lookups Setup

Overview

It makes sense to make various fields, standard and custom, to be dropdowns rather than textboxes,  Users type in any information they wish into textboxes.   Dropdowns offer applicable options, prevent spelling mistakes and are more useful for reporting.

ASPEC Administrators can customize the dopdown options provide a translation for each option value and language supported by ASPEC.   Lookups configurations are available in the Customize/Lookups section of ASPEC Settings.

Lookups Setup is divided into two tables.

Defined Lookups Options apply to dropdown values in standard fields like Interaction Type.

Custom Lookups are values displayed in dropdown Custom Fields.

Dropdown values can be customized even further by implementing Page Workflows.

To configure values in standard dropdown, highlight your Organization’s default language(1), then the dropdown field (2).  Type in each value in the third column (3) and click the green “+” button to add the value to the list of options for that field.  You can also edit existing values by typing into the text box, or remove them by clicking the red “-” button.  You can also drag and drop to modify the sequence of the existing values.

To translate the values highlight the language in the first column and replace the values in default language with the value’s translation.

Custom Lookups

Unlike Standard Lookups, you need to define the Lookup’s name in the default language.

Select a default language and type in the Lookup name in the text box (2) in the second column.  Click the green “+’ button to add to Available Lookups.

Now you can add the values that will appear in the dropdown.

Highlight the new Lookup you just added (1).  Type in each value in a text box (2) in the third column and click the green “+” button to add.  You can edit the existing values (3) by typing over or you can remove them by clicking the red “-” button.  Dragging and dropping (4) will change the sequence in which the values appear in a dropdown.

To translate the values highlight the language in the first column and replace the values in default language with the value’s translation.
